Glossary

Equipment rental operations, defined.

Terms you will meet when moving a rental operation onto a connected system.
Equipment utilization
The share of available time a unit spends on rent. Tracked per unit and per category, it shows which machines earn and which sit idle.
Equipment allocation
Reserving specific units — not just a category — for an approved rental request, so the same machine cannot be booked twice for overlapping dates.
Turnaround buffer
Time held between two rentals of the same unit for collection, cleaning, inspection and preparation.
Time-based maintenance
Service scheduled on a calendar interval, such as every 3 months, regardless of how much the machine was used.
Usage-based maintenance
Service scheduled on a meter interval, such as every 500 operating hours or a set number of kilometres.
Meter reading
The hour-meter or odometer value of a unit, captured at delivery, at return and during service. It drives usage-based maintenance and wear tracking.
Rental extension
Lengthening an active rental. Availability for every unit on the rental must be re-checked for the extra period before it is confirmed.
Return inspection
A checklist completed when equipment comes back, recording condition and damage. Damage can create a repair job and a customer charge.
Rental profitability
Rental revenue and additional charges minus the costs incurred on that rental — operator, fuel, transport, service, parts and other expenses.
Role-based access control
Granting permissions to roles rather than individuals, so each person sees and does only what their roles allow.

FAQ

Questions rental businesses ask us

What is EffiFleet?

EffiFleet is an operating platform for heavy equipment rental businesses. It connects rental management, fleet and equipment, service and maintenance, employee operations, finance and customer experience in one system, with an AI layer that helps teams find information and make allocation decisions.

Who is EffiFleet designed for?

Businesses that rent out heavy and industrial equipment — forklifts, cranes, excavators, loaders, telehandlers, generators and similar machines — and need to manage requests, units, field employees, servicing and billing together.

Can EffiFleet manage multiple equipment types?

Yes. Equipment is organised by category and type, with its own specifications, meter type (hours or kilometres), documents and history per unit. You define the categories that match your fleet.

Can I manage rental requests and ongoing rentals?

Yes. Requests move through review, quotation, approval and equipment allocation, then convert into rentals that are tracked through preparation, dispatch, delivery, active use, extensions, return, inspection and completion.

Can employees use EffiFleet from mobile?

Yes. The Employee mobile app gives drivers, operators, technicians and other field staff their assigned tasks — deliveries, collections, service jobs and inspections — based on the roles and permissions they hold.

Can customers submit rental requests from mobile?

Yes. The Customer mobile app lets your customers submit rental requests, accept quotes, track active rentals and the equipment on them, raise service requests, view invoices and payments, and manage loyalty points. Customers never use your internal admin system.

Can technicians manage service jobs?

Yes. Technicians receive service jobs in the Employee app, work through checklists, record parts and labour, and update job status — including waiting for parts and testing — until the job is completed.

Can EffiFleet manage equipment maintenance?

Yes. Maintenance schedules can be time-based (for example every 3 months) or usage-based (for example every 500 operating hours), per unit or per equipment type. Due and overdue maintenance is flagged and raised as a job when scheduled.

Can rental expenses be tracked?

Yes. Expenses such as fuel, transportation, operator charges, spare parts and service costs can be recorded against rentals and equipment, so you can see revenue and operating costs side by side. EffiFleet focuses on rental-level financial visibility and is not a replacement for a full accounting ERP.

Does EffiFleet support loyalty programs?

Yes. Loyalty is optional and fully configurable — you decide whether it is enabled, the earning percentage, point value, minimum and maximum redemption, expiry rules and which transactions are eligible. Customers see their balance and history in the Customer app.

How does EffiFleet AI work?

EffiFleet AI works on your own operational data and only through the same permissions the signed-in user has — it cannot see what that user cannot see. It answers operational questions, recommends equipment and employees with the reasons behind each ranking, and suggests a category and priority for new service requests. Recommendations never act on their own: your team reviews and confirms every action, and AI interactions are logged for audit.

Can EffiFleet integrate with our existing systems?

EffiFleet is built on an API-based architecture, which makes integration with accounting, CRM or other systems possible. Specific integrations depend on your systems and are scoped with you during onboarding.

Is EffiFleet suitable for multiple branches?

Yes. Branches and locations are part of the core data model, so equipment, employees and operations can be organised by branch, and recommendations take branch into account.

Can the platform be customized?

Many parts are configurable without development work — roles and permissions, equipment categories, inspection checklists, maintenance schedules, pricing and loyalty rules. For requirements beyond configuration, talk to us about your workflow.
